Driver Self-Assignment via Vehicle QR Code allows drivers to assign themselves to vehicles by scanning the vehicle’s QR code, reducing manual coordination and speeding up day-to-day operations.

To retain operational control, you can configure a vehicle assignment pool to limit which drivers are eligible to self-assign, while all assignment actions are automatically recorded in the vehicle’s assignment history for full visibility and accountability.

This article explains how driver self-assignment works, how to configure the vehicle’s assignment pool, and how to view the vehicle’s assignment history.


Driver Assignment Pool

The driver assignment pool allows you to define which drivers are permitted to operate a specific vehicle. When an assignment pool is configured, this restriction applies only when drivers attempt to self-assign the vehicle by scanning its QR code through the FleetRunnr Agents app.

As a result, drivers who are not included in the selected pool will be unable to assign the vehicle to themselves, while only eligible drivers within the configured pool can successfully complete the self-assignment process.

Quick Steps: Configure a Vehicle’s Driver Assignment Pool

This setting is available during vehicle creation and when editing a vehicle’s configurations, allowing you to configure the driver assignment pool for the first time or modify it later, regardless of whether it was initially set.

  1. From your portal’s Dashboard, click Fleet.

  2. In the left-side navigation menu, select Vehicles to access the Vehicles page.

  3. Choose one of the following options:

    • Create a vehicle: Click Create Vehicle in the top-right corner of the page. In the panel that opens on the right side of the screen, scroll down to locate the driver assignment pool setting.

    • Edit an existing vehicle: Click the three horizontal dots on the far right of the vehicle you want to update. In the panel that opens, scroll down to view and set / modify the driver assignment pool setting.

  4. Configure the vehicle’s assignment pool by adding or removing drivers as needed.


Vehicle QR Code

When you click the View QR Code action for a vehicle, the vehicle’s QR code is displayed on the screen. Drivers can scan this QR code using the FleetRunnr Agents app to self-assign the vehicle, provided they are part of the vehicle’s assignment pool.

The QR code can also be downloaded or printed for physical use—such as printing it and placing it directly on the vehicle—allowing drivers to scan it on the spot whenever they need to assign the vehicle to themselves.

Quick Steps: View and Use a Vehicle’s QR Code

  1. From your portal’s Dashboard, click Fleet.

  2. In the left-side navigation menu, select Vehicles to access the Vehicles page.

  3. Locate the vehicle you want to assign and click the three horizontal dots on the far right of its row.

  4. Select View QR Code from the actions menu.

  5. Once the QR code is displayed, drivers can scan it using the FleetRunnr Agents app to self-assign the vehicle.

  6. (Optional) Download or print the QR code and place it on the vehicle to allow drivers to scan it directly whenever needed.


Vehicle Assignment History

The vehicle’s assignment history provides a complete log of all assignment-related activity for that vehicle. This history includes events where drivers assign themselves by scanning the vehicle’s QR code, as well as events where users manually assign or unassign drivers from the vehicle through the system.

Each action is recorded as a separate event, with distinct entries for assignments and unassignments. For every event, the assignment history clearly shows:

  • The type of action (assignment or unassignment)

  • The exact date and time the event occurred

  • The name of the driver who was assigned or unassigned

  • The name of the user who performed the action—either the driver (in case of self-assignment via QR code) or the system user who manually made the change

This level of detail ensures full visibility and accountability, making it easier to track vehicle usage, investigate issues, and audit assignment changes when needed.

Quick Steps: View a Vehicle’s Assignment History

  1. From your portal’s Dashboard, click Fleet.

  2. In the left-side navigation menu, select Vehicles to access the Vehicles page.

  3. Locate the relevant vehicle and click the three horizontal dots on the far right of its row.

  4. Select Assignment History from the actions menu.

  5. Review the list of assignment and unassignment events, including the date and time of each action, the driver involved, and the user who performed the action.
