Managing Shifts – Create, Edit, & Delete Shifts

Managing shifts allows shift leaders and fleet managers to configure one-time or recurring schedules that define when work is performed.

Shifts are a core part of organizing daily operations. The Scheduling page allows you to define when work happens, how long shifts last, how they repeat over time, and make adjustments as needed.

This article walks you through how to create, edit, and delete shifts directly from the Scheduling page and explains the required information needed to manage them correctly.


How To Create Shifts

You can create new shifts directly from the Scheduling page in two ways:

  • By clicking on the top area of a specific day’s cell in the calendar to create a shift directly for that date.

In both methods, the same Create Shift panel appears and behave the same way.

Note:

When creating a shift by clicking a day cell, only the shift day (date) is automatically prefilled based on the selected cell.

The shift time and all other settings are not preset and behave the same as when creating a shift using the Create Shift button.


Required Information to Create a Shift (General Tab)

In the General tab of the Create Shift panel, the following information is required to create a shift:

1-Name: A descriptive name to help you identify the shift on the calendar.

2-Recurrence: Defines whether the shift is a one-time shift (Does not repeat) or repeats on a recurring schedule (Daily / Weekly).

  • Does not repeat: The shift appears only on the selected date.

  • Daily: The same shift repeats every day at the same time, using the same settings.

  • Weekly: The shift repeats on the same day of the week in future weeks (for example, a Tuesday shift repeats every Tuesday).

3-Start date: The date on which the shift begins (day and time).

4-Duration: Specifies how long the shift lasts (for example, number of hours).

Notes:
• You can only select a current or future date as the shift start date. Past dates are not allowed.
• When creating a shift by clicking a day cell, only the shift day (date) is automatically prefilled based on the selected cell.

When creating a shift, you can also configure the following optional settings inside the general tab:

  • Tags
    Used for internal organization and data segmentation. Tags help you categorize and filter shifts more easily within your workspace.

  • Breaks
    Allows you to define break periods for the shift, if needed. Breaks are optional and do not affect the creation of the shift.

Once the required information is filled in, click Create to add the shift to the calendar, where it will immediately appear on its corresponding date.


Created Shifts on the Scheduling Page

Shifts created in the system are displayed directly on the Scheduling page, allowing you to easily view, manage, and adjust them as needed.

Each shift appears as a row within a day’s cell on the calendar and includes key information such as:

  • The shift's name

  • The shift's start and end time

When multiple shifts are created for the same day, they are displayed vertically within that day’s cell. If more shifts exist than can be shown at once, a “+X more” indicator appears, allowing you to view additional shifts for that day.

If a shift spans across two calendar days (for example, starting in the evening and ending the next morning), the shift entry is visually extended across both day cells. This ensures the full duration of the shift is clearly represented and easy to track when managing schedules.


Editing and Deleting Shifts

Once a shift has been created, it can be managed directly from the Scheduling page. Clicking on a shift entry in the calendar, will open this shift’s information panel on the right side of the page, where you can view and manage all related settings.


Editing a shift

From the shift panel, you can update any previously configured or unconfigured settings, such as timing, assignments, or policies. Once your changes are made, click the Save button at the bottom-right of the panel to apply them to the selected shift.


Deleting a shift

If the shift is no longer needed, you can delete it by clicking the Delete button located at the bottom-left of the shift panel. This action permanently removes the shift from the schedule.
