Assigning Drivers and Vehicles to Shifts

As a fleet manager, assigning drivers and vehicles to a shift allows you to define exactly who and what can operate under that shift. Assignments help you control participation and ensure that only the intended drivers and vehicles are associated with the shift.

This article explains how to assign drivers and vehicles to shifts.


When Assignments Can Be Configured

Driver and vehicle assignments to a shift can be managed in both of the following cases:

  • During shift creation, before saving the shift.

  • After the shift is created, by clicking the shift entry on the calendar to open the Edit Shift panel — whether or not drivers or vehicles are already assigned.

In both cases, the assignment behavior and available options remain the same.

Once the Create Shift or Edit Shift panel opens, click the Drivers or Vehicles tab from the list of tabs within the panel to manage assignments for the shift.


Assigning Drivers to a Shift

Driver assignments are managed from the shift’s information panel using the Drivers tab. This tab allows you to assign and control which drivers are eligible to operate under the shift.

Quick steps:

  1. Open the shift panel and navigate to the Drivers tab.

  2. Click Add Drivers.

  3. In the window that opens, use the search bar and / or filters to locate the intended drivers.

  4. Select the drivers you want to assign.

  5. Click Add Selected at the bottom-right of the window.

To finalize your changes, use the action button at the bottom-right of the panel.


Assigning Vehicles to a Shift

Vehicle assignments are managed from the shift’s information panel using the Vehicles tab. This tab allows you to define which vehicles can be used during the shift.

Quick steps:

  1. Open the shift panel and navigate to the Vehicles tab.

  2. Click Add Vehicles.

  3. In the window that opens, use the search bar and / or filters to find the intended vehicles.

  4. Select the vehicles you want to assign.

  5. Click Add Selected at the bottom-right of the window.

To finalize your changes, use the action button at the bottom-right of the panel.


Best Practice for Location-Based Shifts

When creating a shift for a specific location, it is best practice to assign the drivers and vehicles that belong to that same location.

This helps keep shifts organized, avoids unintended participation, and ensures smoother operations—especially when managing multiple locations or larger fleets
