Set up Agents, Teams, Vehicles and Equipment

Fleetrunnr gives you access to manage your entire fleet of Agents, Teams, Vehicles, and Equipment by visiting the settings page (https://app.fleetrunnr.com/settings).

Agents

The agents are the drivers that will handle the delivery, pickup, transfer and return of your orders.

To access the agents page and add new agents, first click on [Agents] in the settings page.

To add new agents, click on [Invite agents] on the top right corner.

Add the agents’ phone numbers (you can add multiple numbers), then click on [Invite].

Fleetrunnr will send an SMS to the agents’ mobile phone notifying them about the invitation, and informing them to download the Agents App.

All the information added by the agent (name, photo, etc) on the app will be reflected on Fleetrunnr’s portal in the Agent's page.

You may Edit, Manage Payout, Deactivate and Remove the agent by clicking on the three points next to the agent’s details.

Edit

Every agent has different skills or functions that allow him/her to perform different shipments.

The functions are: Pickups, Transfers, Deliveries and Returns.

These Functions are used for the routing engine and auto assignment of shipments.

Also, you can edit the agents' shift times, to ensure that routes being created fall within the drivers working hours.

After selecting the functions click on [Save].

Manage Payout

Fleetrunnr will help you to manage your driver expenses by setting automatic driver payouts based on various rules.

Rules (you can choose a mix and match rules):

  • Flat Rate: A flat rate paid out to your driver daily given a check in has been made.

  • Per Stop: A fee paid out to your driver every time a stop is completed ( a shipment has 2 stops, pickup and delivery)

  • Per Hour: An hourly rate paid out to your driver based on time checked in/out.

  • Per Km: A fee paid out to your driver based on the distance travelled while performing shipments.

    By clicking on [Include first trip], then the driver will be paid for the driving distance to the Pick-up stop.

Deactivate

By deactivating an agent, his access to FleetRunnr agent app will be disabled but the agent will stay in your workspace and you may activate him at any time in the future.

To reactivate the agent, you have to click on [Activate] and the agent’s access to the mobile app will be re-enabled.

Remove

By removing an agent, this agent will be deleted from your workspace and he can’t be reactivated again.

Teams

Organize your agents into teams and add the coverage area for each team, this will assist in the shipment assignment process by filtering out teams that cannot serve a particular pick up or delivery region.

To access the teams page and add a new one, first click on [Teams] in the settings page.

Step 1

To add new teams, click on [New Teams] on the top right corner.

Then, you have to add a name for your team and select related locations.

Locations are set if drivers are uniquely part of a certain location. (their shift starts from a fixed warehouse or depot).

You can also specify, if agents end their shift at that location or not. (given these parameters the routes might change)

After that, click on [Save].

Step 2

To assign agents to a team, click on the three points next to the team name and then click on [Assign Agents].

Then specify which agents are part of this team by clicking on the toggle next to the agent’s name

Step 3

You can add a coverage areas to the created teams, if drivers are restricted to certain regions.

This would assist in the auto-assignment of shipments to your agents in the most optimal manner.

To manage coverage areas first, click on [Manage Coverage] on the top right corner.

Next, click on [Add Coverage] and drag on the map to select the area covered by this team.

After selecting the area, click on [Save]

You may edit the coverage area at any time.

Vehicles

Add your vehicle information including capacity, this will assist in the shipment assignment process by assigning orders to the agents by taking into consideration the capacity of the vehicle used by this agent and the type of vehicle.

To access the Vehicles page and add the vehicle information, first click on [Vehicle] in the settings page.

To add new Vehicles, click on [New Vehicles] on the top right corner.

You have to fill all the required fields:

  • Plate number

  • Agent

  • Type (based on the chosen vehicle type, routes will change. Eg: trucks have different road restrictions that motorcycles)

  • Color

  • Year

  • Make

  • Model

  • Capacity: Units

  • Options: Refrigerated and Heated

Refrigerated Vehicles: For the vehicles that contain the same properties as a refrigerator and used in shipping the products that need a low temperature.

Heated Vehicles: For the vehicles that contain a heater and used in shipping the products that need a warm temperature.

Then click on [Save].

You may edit and remove the vehicle at any time.
